Valid Tally license and credentials

  • TallyPrime version: TallyPrime Release 7.1 is required for cloud access features, which I have used in my steps, and you can also try. 
  • License Type: There are two types of licenses. 
  • Single user: TallyPrime Silver is enough if only one person will use Tally at a time on the cloud server. 
  • Multi-user: TallyPrime Gold or an equivalent multi-user edition is required for concurrent users on the same server.

Cloud infrastructure or hosting plan. 

You must have a place to run Tally on the cloud. You can choose: 

  • Managed Tally cloud providers (easiest): A vendor that pre-configures Windows Server and Tally for you. 
  • Self-managed Windows VPS/cloud server: It is from providers where you install and manage Tally yourself. 

Internet connection and devices. 

  • Every user who will access Tally on the cloud needs a minimum of 2 Mbps for basic cloud access. If you want a smooth experience for multi-user RDP, then around 5 Mbps is recommended. 
  • Devices: Any device (PC, laptop, tablet, or Mac) that can run. 

Always remember: TallyPrime runs on Windows. So, you cannot install and run it directly on a Mac. To use Tally on a Mac, you can connect to a Windows remote server using RDP and then run Tally in the Windows environment. 

Can I use my existing Tally license on the cloud?

  • Your current Tally data folder (company data). 
  • A recent backup of all companies before migration.

How to Set Up Tally on Cloud (Quick Overview)

Let’s set up Tally on the cloud from scratch; the very first step is to choose and order a Windows-cloud-based server that will host TallyPrime, and then you can connect to it through a remote desktop. 

  • Step 1: Choose the Right Tally Cloud Plan

Before ordering a server, you need to decide how many people will use Tally on the cloud simultaneously. You need to decide if you require the TallyPrime Silver plan for a single user or the Gold plan for multi-user licensing. 

Note: We have used QloudRDP for our own Tally on-cloud setup because it’s our company, so we have given exact steps with properly labelled screenshots. But if you have a different provider or you want to choose another, you can choose, but maybe the steps can differ.

Decide Your Number of Users

This guide is for single users who want to access TallyPrime from a cloud server through remote desktop. Choose a single-user cloud setup if only one person will open and work in TallyPrime at a time. In this case, you need: 

  • One Windows cloud server. 
  • One remote desktop user account. 
  • One TallyPrime Silver license. 

If two or more employees need to work in TallyPrime at the same time, choose a multi-user cloud plan and a TallyPrime Gold license. Gold is designed for multiple users working together on the same server. 

Bring Your Own License or Buy One

You can set up TallyPrime on the cloud server in either of these ways: 

  • Bring your existing TallyPrime license, and check if it’s active and valid. 
  • Install TallyPrime on the cloud server >> Install TallyPrime >> Open TallyPrime and select the license for activation. 

Note: To use TallyPrime through QloudRDP, you need a TSplus license for remote access. TSplus Silver License: Allows 1 concurrent RDP session/remote access to the server. TSplus Gold License: Allows 10 concurrent RDP sessions/ remote access to the server. 

A Silver license can be active on only one machine at a time. Therefore, after you reactivate it on the cloud server, it will no longer be active on the previous computer. 

You can also buy a new license if you don’t have an existing one or you’re new to TallyPrime. You can purchase a valid Tally license from any authorized Tally partner. 

  • Step 2: Get Your Cloud Server Login Details

Once you visit the official website of QloudRDP >> Purchase their Windows VPS managed cloud server >> complete the checkout >> After payment, the provider will email you with the login credentials. 

You will receive in your email: 

  • Server IP address
  • Username (usually Administrator) 
  • Password.

Keep these details safe with you, as you’ll need them to connect. 

  • Step 3: Connect to Your Cloud Server (Remote Desktop)

Once you receive the login credentials in your email, use them to connect to your cloud server. You need to connect to it from your local computer using Remote Desktop Protocol (RDP). 

This gives you full control of the cloud server just like your own PC, and all Tally operations will happen inside this remote session. 

From Windows

On your local PC: 

  • Press Win + R, type mstsc, and press Enter. 
  • In “Computer” >> enter the server IP, click Connect, and then enter the username (Administrator) and password (the one you receive in your email).

From Mac.

  • Install Microsoft Remote Desktop from the App Store.
  • Add a new PC connection using your server’s IP address and login credentials >> then click on Connect. 
  • Enter your username in the box >> Enter your password. 
  • Click on Continue.

Just by following these steps, your Tally on Cloud setup on a cloud server is complete and ready for daily use. As a single user, you can now easily access your account securely from any device with an internet connection.

  • Step 4: Install TallyPrime / Tally ERP 9 on the Cloud Server

After you connect to your cloud server through RDP, the next step is to install Tally on the cloud server and then activate or load your license. 

Fresh Installation

You have to do a fresh installation if you have never used Tally. Download the latest version. 

  • Go to Tallysolutions >> Install TallyPrime (recommended for new setups) or 
  • Install Tally ERP 9 (if you still use the older version). 
  • Run the installer >> follow the default installation path.

Launch Tally once installation is finished. This gives you a clean, fresh Tally installation on your cloud server.

Activate or Load Your Existing License

  • Step 1: Open TallyPrime or Tally ERP9 inside your RDP session >> Choose Activate new license (or Licensing >> Activate in Tally ERP 9). 
  • Step 2: Select the correct edition >> TallyPrime Silver for a single user >> TallyPrime Gold for multi-user later. 
  • Step 3: Enter >> Your serial number >> Activation key >> Admin email (as provided by your Tally partner).

Complete the activation over the internet from the server. If you already have an active license on another machine, you can either: 

  • Reactivate the same license on this cloud server, or 
  • Migrate Tally data to the cloud using Tally’s license migration tool.

Once activated, your Tally instance on the cloud server is fully licensed and ready for company data setup or migration. 

  • Step 5: Migrate Your Existing Tally Data to the Cloud

If you already have Tally data on your local PC or another server, you can move it to your new cloud server so that all your companies’ transactions are available in the cloud setup. 

This is done by copying your Tally data folder from your local machine to the cloud VPS and then opening those companies in Tally on the server. 

Once migrated, your full accounting history and reports will be available in the cloud setup, and you can continue working exactly as before, but from anywhere. 

  • Step 6: Enable Automated Backups

Even though your data now lives on a cloud server, you should still set up regular backups to protect against accidental changes, corruption, or rare server issues. 

You can use Tally’s built-in backup feature to schedule automatic backups on the server and also enable your VPS provider’s snapshot or backup service to take periodic copies of the entire server. 

Together, these layers of backups ensure that you can quickly restore your Tally data and continue working with minimal disruption if anything goes wrong. 

  • Step 7: Secure Your Tally Cloud Setup

Once your Tally data is in one cloud and backups are enabled, the next step is to secure the setup so that only you (and any trusted users you allow) can access Tally on the cloud.

Can’t Connect to the Cloud Server

It means you see error messages like “Connection failed,” “Server Not Responding,” or “Unable to connect to the Internet.”

Causes: 

  • The Internet connection is slow or disconnected. 
  • The firewall or antivirus is blocking Tally cloud access. 
  • Server maintenance is happening on Tally’s end.  

How to fix it: 

  • Internet issue: Check that your internet connection is working. >> Open Google or any other website to confirm. >> Restart your router/modem for 30 secs and then turn it on. 
  • Disable Firewall temporarily: Check if your antivirus is blocking Tally Cloud >> Temporarily disable it to test. 
  • Try a different browser: Use Chrome, Firefox, or Edge >> If it works on another browser, switch browsers. 

Tally License Not Activating

This means you enter your license key but get an error message saying, “License invalid,” “Activation invalid,” or “License expired.” 

Causes: 

  • The license key was entered incorrectly, or the license has expired. 
  • The license key is already used on another account.

How to fix it: 

  • Verify your license key: Check the license key you received >> Re-enter it carefully; make sure there are no extra spaces before or after. 
  • Check License Expiry Date: Look at your license purchase email >> Confirm the license hasn’t expired >> If it’s expired, then renew the subscription from Tally’s portal. 
  • Activate with good internet: Ensure you have a stable internet connection. >> Don’t activate on a mobile hotspot (use WiFi if possible). 

Printer Not Showing in Cloud Session

This means you can print from your computer normally, but Tally Cloud does not recognize your printer. You see an error like “No Printers Available” when you’re trying to print. 

Causes: 

  • Printer not connected properly to your computer. 
  • Printer drivers are outdated. 
  • The printer is offline or turned off. 

How to fix it: 

  • Check printer connection: Make sure your printer is switched on. Verify the USB cable is connected properly. 
  • Restart your printer: Turn off the printer for 30 seconds. >> Turn it back on >> Wait for it to fully load before trying to print. 
  • Update your printer drivers: Go to Windows settings >> Devices >> Printers and Scanners >> Right-click on your printer and select “Update driver.”

Data Not Syncing for Multiple Users

It means changes made by one user don’t appear for other users. For example, a new invoice entered by you does not show up when your accountant logs in. 

Causes: 

  • The Internet connection is not stable. 
  • Both users logged in at the same time (causing sync conflicts). 
  • The cloud server hasn’t processed the changes yet. 

How to fix it: 

  • Refresh your browser: Press F5 or Ctrl + R (Windows)/CMD + R (Mac) >> Wait for 5 to 10 seconds for the page to fully load. 
  • Check internet connection: Both users should have a stable internet connection. 
  • Wait for the sync to complete: After making changes, wait for 2-3 minutes before the other user checks. >> Cloud servers take a few seconds to update across all sessions.
